How to compare quotes from several suppliers
homeX analysis: build one comparison table with columns for unit price, VAT, freight, validity, down payment, instalments, guarantee and delivery date. The cheapest unit price is not necessarily the cheapest if freight is billed separately, the down payment is large, or the delivery date falls in truck ban hours. For large projects, split the RFQ by material group (structure, finishing, installations) so specialist suppliers can bid.
Documents to request with the quote
Ask for the factory technical data sheet, a copy of the SPPT SNI for mandatory-SNI products, the company profile and tax/VAT registration, a list of similar project experience, and reference contacts. For large volumes, ask to visit the warehouse or factory. Keep all documents in the project folder for audit and warranty claims.
Buyer tips
- Use one RFQ format for all suppliers so quotes are comparable.
- Write the SNI number, unloading hours, price validity and who bears VAT.
- Ask for the SPPT SNI and the factory data sheet with the quote.
- Link payment to delivery and acceptance, not just dates.
